Our client advises the trustees of large institutional funds, each of which requires continuous oversight, structured governance, and clear visibility for everyone involved. Progress against each fund was assessed through detailed readiness reviews, prepared by consultants and shared with the trustees responsible for governance.
However, these reviews were delivered as static Word documents. While detailed and standardised, they captured a single moment in time and could not reflect how a fund actually moved forward. Key challenges included:

The system is designed to reflect the client's existing advisory methodology, while replacing the document-based reporting layer with a live, shared workspace. By combining modular tracking with configurable administration and on-demand reporting, the platform gives every user real-time visibility into where a fund stands.
The portal breaks each fund into four connected modules, so trustees can see both the detail of any single stage and how the fund is progressing overall.
Tracks the readiness tasks, data checks, and outstanding issues that must be resolved before a fund goes to market
Captures counterparty engagement, quotes received, and progress through the transaction stage
Manages the closing tasks and sign-offs required to complete the transaction
Tracks the fund's financial position across the lifecycle, giving trustees a live commercial picture alongside operational progress
Web portal : A secure, user-friendly interface where trustees access the funds assigned to them. Users gain a consolidated view across every fund and can drill down into module-level detail, improving oversight and decision-making.
Reporting and audit tools : Internal users can input a date range and generate reports covering user activity, funds added, fund status, and counterparty status, supporting both internal review and external scrutiny.
Admin portal: A dedicated portal for administrators to create, configure, and publish funds. Internal users can manage allocations, assign consultants, and keep records current, providing the flexibility to adapt the platform to different trustee requirements.
PDF snapshots: Both internal users and trustees can generate a snapshot of a fund at any time. Snapshots can be exported in full or filtered by selected modules and sections, with multi-select enabled for flexibility.
